Apple iPhone/Android Smartphone: Using Clearspan Engage WebEx Features

This article contains information on how to use various features of the Clearspan Engage WebEx mobile app for Apple iPhone and Android Smartphones, including making/answering a call, hold, transfer, mute, and call forward.

The steps below are shown on an Apple iPhone, but the steps are the same for Android smartphones.

What do you want to do?

Make a Call

1. Tap on the Calling icon at the bottom of the app.

3. Type the phone number you want to call. Then click the phone button to start an audio call or click the video button to start a video call.

  1. Enter the phone number you want to call. For campus extensions, enter just the four digit extension (e.g., 2011). For off-campus phone numbers, dial 9+1+10 digit number (e.g., 9-1-714-555-1212).
  2. Click on the Audio button to start an audio call.
  3. Click on the Video button to start a video call.
  4. You can use the x button to delete numbers from the phone number field.
Answer a Call

1. When you receive an incoming call for your campus extension, it will be marked as Webex Audio to differentiate it from your regular incoming calls. Tap Accept to answer the call.

Campus extensions that call you will show the display name associated with the extension. If the caller is in your iPhone Contacts, the name (and photo) associated with the caller (on-campus or off-campus) will show the name/photo from your Contacts.

1.1. If you're actively using an app on your phone, you may see the notification about the call as a pop-up. Tap the blue checkmark to answer the call.

2. You're now in the call.

Note that you now see the phone number of the caller instead of their name.

Put a Call on Hold

1. Tap the three dots button at the bottom of the call.

2. Tap Hold to place the call on hold.

3. In the middle of the screen, you'll see a pause button indicating the call is on hold. Tap Resume to take the caller off hold.

Transfer a Call

1. Tap the three dots button at the bottom of the call.

2. Select Transfer.

3. Enter the extension number or name of the person/department that you want to transfer the call to. Then choose the appropriate listing from the search results.

If you know the extension number, it's recommended you enter the number. This directory is searching the telephone database, not the Outlook Address Book, so searching by name, especially for a department, may result in a lot of extraneous results such as alarms, conference rooms, and other department-owned extensions.

Note that the search will look in your iPhone Contacts for matches. Although it will appear that you can transfer a call to an off-campus phone number, that feature is not available.

  1. Enter the campus extension number or name of the person/department you want to transfer the call to.
  2. Tap on the appropriate listing for the extension/name.

4. Choose Consult first with audio, Consult first with video, or Transfer Now.

Transfer Now = transfers the call and you are done

Consult First = you can speak to the person you are transferring to first (announce the call) and then either transfer the call to them or not.

  1. To speak with the person you are transferring to before transferring the call (e.g., announce the call, check the person is available), tap Consult first with audio.
  2. To start a video call with the person you are transferring to before transferring the call, tap Consult first with video.
  3. To transfer the call now, tap Transfer now.

5. If you chose Transfer now, you're done! The call has been transferred to the campus extension you entered.

6. If you chose to Consult first, tap Complete Transfer when you are ready to transfer the call. Or tap the red x to cancel the transfer.

The original caller is on hold and is not able to hear your conversation with the person you are transferring to.

If the user agrees to accept the transferred call, they should remain on the line. Once you tap Complete transfer, the caller will be connected to them.

  1. Tap Complete transfer to transfer the call. You don't necessarily need to wait until the call is answered; you can transfer the call while it is ringing and the caller will be sent to their voicemail if the call is not answered.
  2. Tap the red x button to cancel the transfer.

6.1. If you cancel the transfer, tap the pause button or Resume to return to the caller.

Mute Myself During a Call

1. Tap the microphone button to mute yourself.

2. The microphone icon is now red with a slash through it to indicate you are muted. Tap the microphone icon again to unmute yourself.

Turn Call Forward On/Off and Add/Remove Campus Extension from Call Forward List

Call Forward should be used to forward phone calls to another campus extension or directly to your voicemail (2525). If you want to forward your calls to an off-campus number, view the Clearspan Anywhere instructions.

1. Tap on your profile icon.

2. Tap Settings.

3. Tap Calling.

4. To forward your calls to your voicemail, tap Voicemail. To forward your calls to another campus extension, tap on the extension you want to forward your calls to.

  1. Tap Voicemail to forward your calls to your voicemail.
  2. Tap a campus extension to forward your calls to that extension.
  3. Notice that a checkmark appears next to the call forwarding option that is active. In this example, Do Not Forward Calls is active.

5. To add a campus extension to your call forward list, tap Add Number.

5.1. Enter the four digit campus extension you want to add. Then click Save.

  1. Enter the campus extension you want to add to your call forward list.
  2. Then click Save.

5.2. The campus extension now appears in your call forward list. You will need to tap on the extension to activate call forwarding to that extension.

6. To remove a campus extension from your call forward list, tap Edit.

6.1. Tap the red minus icon next to the campus extension you want to remove.

6.2. Then tap Delete.

6.3. The campus extension is no longer in your call forward list.

If you have added multiple campus extensions to your call forward list, you may have to tap Done at the top right when you are finished editing the list.

Accessing Advanced Call Forwarding Options

Advanced call forwarding settings allow you to change where callers are  sent when there is no answer on your extension or your extension is busy  as well as turn on call forwarding always.

1. Tap on your profile icon.

4. Tap Advanced Call Settings.

5. Tap Incoming Calls and then tap Call Forwarding.

6. Tap the slider next to the call forward option you want to enable/modify. Then review the extension listed and modify if necessary.

Always = all of your calls will be forwarded to this extension

When No Answer = when you do not answer an incoming call, the call will be forwarded to this extension

When Busy = when you are on a call, all incoming calls will be forwarded to this extension

By default, your "when no answer" and "when busy" options will be set to  2525, which is the campus voicemail system's extension. This means that when there is no answer or your extension is busy, calls will be sent to your voicemail.

  1. Tap the slider next to the call forwarding option you want to enable/modify.
  2. Review the extension listed and modify if necessary. Entering 2525 will forward to your campus voicemail.

7. When you want to disable the call forwarding, return to this screen and tap the slider to turn it off.

Turn Clearspan Anywhere On/Off (Forwarding Calls Off-Campus)

Clearspan Anywhere should be used to forward phone calls to an off-campus extension (such as your cell phone or home phone number). If you want to forward your calls to a campus extension or to your campus voicemail, view the Call Forward instructions.

Please note that the Clearspan Anywhere feature must be enabled by Telecom before you can use it. Please email [email protected] to request Clearspan Anywhere. As a limited number of licenses are available, only users who meet the eligibility criteria are granted access.

Do NOT enable Clearspan Anywhere if you plan on using the Clearspan Engage WebEx mobile app as you will experience call failures if both are enabled at the same time.

You can enable Clearspan Anywhere using the mobile app, but then exit the WebEx mobile app to avoid issues.

1. Tap on your profile icon.

2. Tap Settings.

4. Tap Advanced Call Settings.

5. Tap Call Control and then tap Clearspan Anywhere.

6. Tap Ring Numbers to review the phone number(s) associated with your account.

7. Review/modify the phone number(s) listed. To add an additional phone number, enter it in the Set Number field. To enable Clearspan Anywhere for a phone number, tap the slider next to the phone number.

  1. Review the phone number(s) listed and modify if needed.
  2. To add an additional phone number, type the phone number in the Set number field.
  3. To enable Clearspan Anywhere for a phone number, tap the slider next to the phone number.

8. If you don't want unanswered calls to go to your phone number's voicemail, tap Answer confirmation.

If you are forwarding your calls to a mobile phone, Answer confirmation prevents unanswered calls from going to your mobile phone's voicemail.

When Answer confirmation is enabled, you will hear a voice prompt when you answer the call. Simply confirm and then the call will continue.

9. When you want to turn off Clearspan Anywhere, return to this screen and tap the slider next to the phone number.

If you have multiple phone numbers in your list, you will need to tap the slider next to each number in order to fully disable Clearspan Anywhere.

View Call History

1. Tap on the Calling icon at the bottom of the app.

2. Tap on the i button next to an entry to view more details about the call. Tap on an entry to call the phone number listed for the entry.

Note that you can tap Missed to view only your unanswered calls.

3. On the call detail screen, you will see more details about the call. You also have the option to start an audio call or video call with the user.
