How to Create a Backlog ILT Class

These instructions cover how to create a Backlog ILT Class. This is for a class that was previously held but a class was not created in the Employee Training Center (ETC) possibly due to software transition

If this is a brand new class, you must first create an ILT Course before creating the ILT Class. Please refer to the ‘How to Create an ILT Course’ guide

Creating an ILT Class for Backlog

Step 1:

Start on the Employee Training Center (ETC) Dashboard.

Step 2:

Next, click on the Administration Icon located at the upper left-hand corner.

 From the dropdown, select Product Administration.

Next click on Learning.

Click on Learning Activities.

Step 6:

From there, the screen will refresh to the Activity Management page.

Step 7:

 In the upper right corner, click on the New Activity button.

Step 8:

From the dropdown, select ILT Class.

Step 9: 

The screen will refresh to show the Offering Wizard, where you will enter the specifics of the class.

Step 10:

 Begin by selecting Browse to search for the appropriate ILT Course

If this is a brand new class, you must first create an ILT Course before creating the ILT Class. Please refer to the ‘How to Create an ILT Course’ guide

Step 11:

 Next, select the appropriate radio button listed next to the ILT Course in which you want to create a class for.

Step 12: 

Once you find the ILT course, click on the OK button.

Step 13:

Once you have selected the appropriate ILT Course, your screen will refresh back to the Offering Wizard.

Step 14:

 From there, use the Calendar to select the desired Start Date and Time for the session that has already occurred.

Select the desired End Date and Time for the session that has already occurred.

Step 16:

Ensure the Time Zone is America/Los Angeles.

Step 17:

Enter the Maximum Capacity.

Step 18:

 Once all information is entered, click on Build Offering in the right-hand corner.

 From there, the screen will refresh to the Offering Set Up page, where you will see all of the course details listed.

Fill out all required fields * (Indicated by a red asterisk).

Step 21:  

Once you have created the offering of the ILT Class and made the appropriate edits, select the Save button.

Disabling Notifications

As this class has already occurred , it is highly recommended to disable notifications so users don’t get notifications for a class that already occurred.

Step 1:

To disable all notifications, begin by selecting the Optional button located in the bottom right-hand corner of the Learning Activity Properties.

Step 2:  

Under Notifications, click on System.

The page will refresh to the Notifications page. In order to view all the notifications, select All from the drop down next to the View.

 Step 4: 

Click on the check box next to Notification Name to select all notifications.

Step 5:

Click on Inactivate to inactivate all the notifications

Click on the Ok button to save all the changes.

Adding Attendees to the Roster

Step 1: 

Select Roster to be taken to the class roster.

The Activity Roster page will display.

Step 3:

To add the employee, click on the Add button.

Step 4:

The Batch Registration page will display and you can select the Continue button to proceed to the registration page.

Under Available Users, select the Add button.

Step 6:

The ‘Select Users’ window will display. Click the Next button to add employees.

Step 7:

 Use the Search box to find the employee you want to add.

You can search for the employee by first and / or last name.

Step 8: 

 To refresh the page, click on the Magnifying Glass (Search) button.

Step 9:

 Once you find the employee, click the checkbox listed next to the employee’s name and click the OK button.  

You can add multiple employees at the same time.

Step 10:  

Click on the top arrow button to move the employees to the Registration list.

Step 11:

 Once the employee has been added to the registration list, click the Submit button.

Status Update

Step 1:

You will return to the Activity Roster page.  

 On the left-hand side, select the check box listed next to the Name to select all the employees.

 Under the Status column, use the dropdown to change the status to Attended.

Step 3: 

Under the Status Date, select the date the employee attended the training

Once you have finished making the changes, click the Apply button to apply the changes.

Validate for Production

Step 1: 

Once the screen refreshes, click the Validate for Production button in the lower left-hand corner

Step 2: 

Now that you have created the class in staging, you are ready to move it to production (this will make it visible to the campus). 

Click on the Move to Production button.

Step 3: 

Click the Close button in the lower right-hand corner.  

 Your backlog ILT class has now been created and users will now be able to access their certificate of completion.
