How to Assign an Online Class

These instructions cover how to assign an online class in the Employee Training Center (ETC) Dashboard.

Assigning an Online Class

Step 1: 

 Start on the Employee Training Center (ETC) Dashboard.

Step 2:

Click on the Administration Icon.

Step 3:

 Select Product Administration.

Step 4:

 Select Learning.

Step 5:

Click on Learning Activities.

Step 6:

The screen will refresh to the Activity Management page.

Step 7:

To search for the online class, type the name of the class in the search bar and then click on the Magnifying Glass (Search) icon.

Step 8:

The screen will refresh to show a list of Course / Class offerings.

This is a list of available ILT course / class offerings.

Step 9:

To the right of the desired activity, click on the Edit button.

Step 10:

 When the screen refreshes, make sure your class is in Stage. If it is not in Stage, click on the Send To Stage button.

Step 11:

 Click on the Optional button, located on the bottom right-hand corner.

Step 12:

 Scroll down to find the Management heading.

Step 13:

Click on the link that matches how you would like to assign. You can assign by: Users or Organizations.

We highly recommend Users or Organizations to be your default selection.

If you do not already have an organization to assign the training to, please contact the Employee Training Center.

Step 14:

Click on Organizations.

This shows the Management section of the offering. There is a green arrow pointing to Organizations.

Step 15:

 Click on Add.

This shows the Organizations offerings page. There is a green arrow pointing to Add.

Step 16:

When the pop-up opens, click on the square next to the Fullerton Organization and then the square next to the Fullerton Assignment Group. Then, click the check box next to the appropriate organization/s.

Step 17:

 Once you have selected the organization/s, scroll down and click on the Next button.

Step 18:

 When the new window pops up, you will be able to select your assignment settings: Organization Name, Required, Assignment Date Due Date, Priority, Time Zone and Learner Assignment Notes.

Step 19:

If you are assigning to multiple Organizations and want to use the same assignment parameters for all of them, click on the Apply to all check box.

Step 20:

Next, use the Required / Recommended drop down menu to select whether this assignment is mandatory (required) or optional (recommended).

Note: The Learner will see this on their Training Schedule page.

Note: The Ignore Previous Completions check box will assign the training to the learners in your Organization, regardless of if they have completed it before. We suggest to utilize this if you have a new version of a training.

Note: If you mark the Ignore Previous Completions check box, you can use the calendar below the check box to specify a “cutoff date”. If the learner completed the activity before the cutoff date, they will be reassigned to it.

If you do not select a date, then the current date will be the cutoff date.

Step 21:

Under Assignment Date, you may choose whether to assign the training today, a specific number of days from today or on a specific calendar date.

Note: If you choose today as the assignment date, the training will be assigned as soon as you finish the assignment workflow.

Note: After choosing the assignment date, use the Time Zone drop down menu to select the America/Los Angeles time zone.

Step 22:

 Next, select the Due Date. You have the option to choose between no due date, within a number of days from the assignment date or on a specified date.

Note: After choosing the due date, use the Time Zone drop down menu to select the America/Los Angeles time zone.

Step 23:

If you wish to add a priority level, click on the drop down bar under Priority and select the priority level of the training.

Priority is ranked 1 - 5

  • 1 is Low
  • 2 is Medium
  • 3 is High
  • 4 is Urgent
  • 5 is Mandatory

Step 24:

 If you wish to add a note to the training that you would like the learner to see, use the Learner Assignment Notes box. These notes will show on the learner’s Activity Summary page.

Step 25:

 If you scroll to the right, you can use the Administrator Notes box to add any notes you may have for Admins. Only Administrators can see these notes.

Step 26:

 Once you are finished setting the parameters, click on the OK button.

Step 27:

 When the screen refreshes, you will see the Organization you have just added. Click on the OK button.

Step 28:

 When the screen refreshes, click on the Validate for Production button.

This shows the Edit Activity / Offering page. There is a green arrow pointing to the Validate for Production button. This is the bottom of the screen.

Step 29:

 Lastly, if there are no validation errors to resolve, click on the Move To Production button.
