Troubleshooting Common Issues with Access Request Forms

This article suggests solutions to problems that are commonly encountered while completing Access Request Forms.

A “no matching record found” error popped up and the form fields won't autopopulate!
No matching record found error

The employee needs to be entered into PeopleSoft. Payroll usually keys in new state employees a few days after their start date. You will need to wait until the employee's record is updated to submit the ARF.

Payroll does not automatically add non-state (Associated Students Inc and Auxiliary Services Corporation) employees into PeopleSoft. For ASI and ASC staff, provide the following information to CMS Security so that they can create a profile for the employee in CMS HR:

•CSUF Email:
•Start Date:
•Home Address:
•Department ID:
•Appointment Type:

I can't find the correct department in the Office/Role drop-down menu on the Campus Solutions ARF!

If the employee is part of: Admissions, Records, Scheduling, Student Business Services, Financial Aid, Extended Education, or International Programs

Special department tabs on CS ARF

The initiator should be using the specific tab dedicated to that department and not the general Departments tab.

Check the Employee Information page to make sure that the employee's Department Name, Department ID, and Title are current. If the employee has recently changed departments, it's possible that their employee record hasn't been updated by Payroll yet.

If the employee is NOT part of Admissions, Records, Scheduling, Student Business Services, Financial Aid, Extended Education, or International Programs

Office/Role drop-down menu

Check the Employee Information page to make sure that the employee's Department Name, Department ID, and Title are current. If the employee has recently changed departments, it's possible that their employee record hasn't been updated by Payroll yet.

If the information is current and correct, then use the Office/Role drop-down menu to select Other, then type in the department name in the text box that appears next to the drop-down menu.

I don't know the status of my ARF!
Where is My Form in AEM Forms header

Initiators can check the status of ARFs (as well as any other AEM forms) that they initiated through the Where is My Form report. View instructions on how to access and interpret the Where is My Form report.

If you did not submit your own form, ask the initiator who submitted it on your behalf to check the status via the Where is My Form report.

The process to complete an ARF is difficult and required my chair and I to each speak with the Helpdesk for extended periods of time. The Helpdesk, myself, and my chair would like to suggest a better platform for the ARF. Is there a reason it can't be on AEM instead? Even AEM is confusing, but better than this.

Hi Andrea! The good news is that all ARFs are currently in the process of being transitioned over to AEM. Finance ARFs are already live on AEM while Campus Solutions and HR are undergoing testing.
