Course Owner

This guide is designed for course owners, designated individuals within departments responsible for specific courses. Here, you'll find an overview of your responsibilities and the resources available to support you in managing these tasks.

Responsibilities

A course owner is responsible for the following settings/actions:

Assignments ETC will assist with initial set-up
Course owner maintains ongoing assignments
Note: Most compliance trainings are auto-assigned.
Automated Notifications Default notifications are automatically Active
ETC can create custom notifications upon and attach upon request
Notifications Communications regarding Course availability or other course specific information such as a Pending Assignment (new assignment) is sent out by the Course Owners' department
Please consult with the ETC for any ETC reference
Waiving  Conducted by Course Owner at their discretion
Monitoring Completion rates Conducted by Course Owner; includes running reports
ETC can create reports upon request
Course Content (for CSUF developed courses) content is the Course Owners responsibility to update / work with developer to update
Compliance Audit Participation
If you are the course owner of a compliance course, you will be contacted about participation in our campus' Spring Compliance Audit and Fall Compliance Audit.

These are general responsibilities. There may be added responsibilities based on your course, department or role. 

Please contact the Employee Training Center for clarification on your particular course.

Courses

As a course owner, you are responsible for your course (as noted above). While the ETC assists with many of the settings, it is up to the course owner to contact the ETC when/if they want settings changed.

When contacting the ETC, please provide the course ID of the course in question. This helps us ensure we are making edits to the correct course.

How to Find the Course ID via Learning Activities

Step 1:

Log in to the ETC and click on Administration

Enter your course name in the Search field

Click on the Magnifying Glass icon to search

To minimize the list of results, try to use the exact course title, or a partial title, and use quotations ("") to narrow your results.

Searching without quotations will produce all results with any variation of your search terms

Step 4:

Once you locate the correct course, the Course ID will appear next to the course title in the column labeled Code

Assigning

Please contact the Employee Training Center for assistance in assigning a training, as the process will vary based on audience and assignment requirements.

It is best to contact the Employee Training Center with as much time as possible.

In urgent situations, the ETC needs at least 24 hours notice.

Waiving / Attended

Updating a course status to Waived or Attended is the discretion of the course owner. The process for updating a course to Attended is the same as Waiving.

Reminder: You should only waive for courses that you are the course owner of. 

Waiving scenarios

Reminder: It is the course owner's discretion if they waive a course. However below are two common scenarios in which a course is waived:

  • If they took a course at another institution
  • If they completed the course, but it is not updating

If a course status is not updating to complete, the employee may recommend a course be waived. However, the employee training center first assist the user to:

  • determine if there are any technical issues preventing a completion status from updating
  • capture 'proof' which is usually a screenshot of their last screen of the training

It will then be up to the course owner to asses the 'proof' and waive the course if they choose to.

Waiving Criteria

It is up to the course owner to:

  1. determine if it is appropriate to waive the course. This includes checking with their supervisors, HRDI or any other entity as appropriate to determine if they need to take the training
  2. determine what they will accept as 'proof'
  3. if a waive is not appropriate, communicating this with the user

If a user has completed the training at another CSU, they will have access to a transcript and certificate of completion. The ETC does not have access to other CSU's Learning Management Systems.

ETC Campus Support

The ETC provides supports on two fronts:

1) Campus community - general and technical support is provided, which includes answering questions such as:

  • How do I login?
  • How do I see training that is assigned to me?
  • Why can't I see the training?

2) ETC Admin./Course Owner Support - this includes:

  •  supporting course owners in LMS use
  • assignments and notifications
  • course management
  • strategy and communication
  • audit support

Course Owner Support

The Course Owner / Course Owner's department is responsible for answering questions that pertain to content and assignments, such as:

  • What is covered on this training?
  • Why do I have to take this training?
  • Do I have to take this training?
  • Do I have to take this training again?
  • Can this training be waived?

Additionally, it is the Course Owner's responsibility to communication with the appropriate groups regarding course availability or other course specific information such as a Pending Assignment (new assignment).
