EHS ILT Virtual Session

This guide will walk you through setting up an Virtual Session for ILT classes. The Virtual Sessions will be used as a mechanism for reminding people of their ILT requirements. 

Reminder: The Virtual Sessions and ILTs are not attached, as such EHS will need to manually update the Virtual Session status to have the notifications go out at the appropriate time for individuals.

Creating the Virtual Session

Step 1:

Click Administration

Click Learning Activities

Click New Activity caret

Select Virtual Session

Step 5: 

Fill out the required fields:

  1. Name
  2. Activity Type (Keep as Virtual Session)
  3. Code (Please follow the Naming Convention)
  4. Description
  5. Owner
  6. Keywords

Click the Optional button to proceed

Step 7:

Under Web Based Training, click on the General link

Click on the Launch method caret

Step 9:

Select Generic Document

Step 10:

Click the OK button

Step 11:

On the Optional screen, click Certification under the Configure general properties for your activity

Step 12:

On the Certification settings page:

  1. Check the box next to Activity is a certification
  2. Under Expiration date,  check the radio button on the second line, next to Expires ____ days after completion
  3. Enter the number of days that the certification will expire after completion in the box. Example: 365 days = 1 year
  4. Click the OK button

Step 13:

On the Optional screen, click Status under the Configure general properties for your activity.

Step 14:

  1. Check the box next to Hide from search results for Learners and Managers.
  2. Click OK.

Since the virtual session is for internal EHS use only, we recommend hiding it from the search results for Learners and Managers to reduce potential confusion for end users.

Instructors

Step 15:

Under Resources, click the Instructors link

Leave the default selection Select Instructor and click the Next button

Step 17:

Click the Add button

Step 18:

Enter the instructor's name in the Search field

Check the box next to the individual's name

Step 20:

Click the Next button

Step 21:

Leave the default selection of Qualified and Responsible checked

Click the OK button to proceed

Step 22:

The name will populate under Instructor Name

Click the OK button to proceed

Notifications

Step 23:

Under Notifications, click the System link

Step 24: (Optional but recommended)

Check the box(es) next to the notification(s) that you would like to Inactivate

The purpose of removing unused notifications is to keep things clean and organized, reducing confusion.

Step 25: (Optional but recommended)

Click the Inactivate button to inactivate the notifications and remove them from the current view

Step 26:

Click on the View caret

Select Active

The following notification templates should be Active for the EHS ILT Virtual Sessions. The following steps will show you how to apply custom notifications to these templates:

  • Certification Expiration Template
  • Certification Expiration Reminder Template
  • Learning Activity Assignment Template
  • Learning Activity Assignment Overdue Template
  • Learning Activity Assignment Reminder Template
Applying a Custom Notification

You will need to apply your custom notifications that include verbiage directing people to contact EHS for an ILT course.

Step 27:

Click the pencil icon for the notification that you want to update

Uncheck the Inherit parent domain settings box

Step 29:

Click the Browse button

Step 30:

Search for the EHS ILT Virtual Session Notifications

Select the appropriate notification

Step 31:

Click the OK button

Step 32:

The page will refresh. Click the OK button.

Step 33:

 A message will pop-up asking if you are ok with applying the changes. 

Click the OK button

You will see that the notification template has been updated

Step 34:

Click the Validate for Production button

Updating Attendance Status for the Virtual Session
