Viewing User Information and Charges in Telesoft

This article covers looking up users and extensions/devices, viewing a user's profile (User Administration), and viewing a user's usage and charges (Detailed Charges) in the Telesoft telephone billing system.

User Search screen
  1. To access User Search, click on the carat icon next to the Track menu.
  2. Select Tasks.
  3. Then select User Search.

What's the difference between User Search and Detail Search?

Users can have multiple extensions/devices assigned to them in Telesoft (e.g., a user who has a campus extension and a campus mobile phone). If you search for a user with the User Search option, you will only see one search result for the user. If you search for a user with the Detail Search option, you will see all of their extensions/devices in the search results.

If you want to see all devices for a user or for your cost center, it's recommended that you use Detail Search.

  1. To search by name, enter the last name and/or first name of the user you want to search for. NOTE: The search will include ALL users in the Telesoft system, not just users in your cost center/department. So you may need to enter both a first and last name to narrow down your search results.
  2. To search by extension, enter the full 10 digit phone number. For example, if you wanted to search for x2200, you would enter 6572782200 in the Extension field.
  3. To search by cost center/department, click on the magnifying glass to view all of the cost centers that you have authorization to access. Or if you know the cost center code, you can type it into this field.
  4. Click User Search to find all of the users that match your criteria.
  5. Click Detail Search to find all of the extensions that match your criteria.

4. To view more about a user, click on the blue circle in the Profile column. To view usage and charges for the user, click on the Last Name. To export the search results, place a checkmark next to one or more entries and then click Export This.

Note that this search is not limited to your cost centers as Telesoft can also be used as a directory lookup. Entries that you have authorization to view will have the Profile icon and the Last Name will be in blue text.

If you want to export to Excel, it's recommended that you use either CSV or XLSX. The CSV (comma separated value) export will give you a file with no formatting applied; the XLSX (the current standard Excel file) will give you a file with some formatting applied.

  1. Click on the blue profile icon to view more about this specific user, including all of their extensions/devices and cost center(s). You will be taken to the User Administration view for the user.
  2. Click on the Last Name to view usage and charges for this user. You will be taken to the Detailed Charges view for the user.
  3. To export one or more rows, place a checkmark next to each row you want to export. Or click on the checkbox in the column headers to select all rows, including ones listed on additional pages.
  4. Then click Export This and select the type of file you want to export to: CSV, TXT, XLSX, or PDF.

User Administration

The User Administration screen shows the overall profile of a user. It includes all of the Cost Centers they are associated with along with all of the extensions/devices associated with each cost center, and recurring charges associated with each extension/device.

  1. The Cost Center tab will show which Cost Centers the user is associated with. If the user has multiple cost centers, click on a cost center to view the extensions/devices associated with it.
  2. The Extension tab will show all extensions/devices associated with the selected cost center.
  3. Click on an extension/device to view the recurring charges associated with the extension/device.
  4. The Recurring Charges tab will show all of the recurring charges for the user.
  5. To print this information, click on Print View and then select the print link in the pop-up window.

Detailed Charges

The Detailed Charges screen shows a summary of the usage, moves/adds/changes costs, recurring charges, and device charges for a user for the last 12 months. You can click on blue text to get detailed information about each charge type.

  1. Click on blue text to view detailed information about that charge type. In this example, this would show all of the local calls for January 2022.
  2. Click on the Total for a month to view all of the detailed charges for that month. In this example, it would be all calls and charges for December 2021.
  3. To export the detailed calls/charges, click on Export This and select the type of file you want to export to: CSV, TXT, XLSX, or PDF. You do not need to select the rows you want to export; Telesoft will export all of the rows that are showing under the summary information.
