How Do I Know Whether to Submit a Data Jack Activation or Schedule a Move Request?

This article covers how Department IT Coordinators (DITCs) can determine whether to submit a data jack activation request or a Schedule a Move request in order to activate a data jack.

Overview

The Schedule a Move request allows you to move a phone and/or computer to a new location. There is a data jack activation portion of the request that also allows you to request that a data jack be activated in the new location for a computer/laptop.

The Activate Data Jack request allows you to request that an existing data jack be activated for network access.

What is considered a new location?

A new location does not necessarily need to be a move to another building/room number. It's best to think of "new location" as meaning any change in the jack number for a phone and/or computer/laptop.

If you are moving a phone (including Zoom Phone!) to another jack within the same building/room number, you would use the Schedule a Move request. This allows Telecom to program the phone jack for the phone number and/or maintain an accurate record of the phone's location for 911 purposes.

If you are moving a computer to another jack within the same building/room number, you can use the Activate Data Jack request.

General guidelines

Data jack activation requests are only for computer/laptop jacks, not for phone jacks, even though many Zoom Phones use data jacks. Use the Schedule a Move request to move a phone to a new jack, even if it's in the same room.

Are you moving a person and their IT assets (phone, laptop) to a new location? You will always use the Schedule a Move request unless otherwise directed by IT staff.

Example Scenarios

Click on a scenario below to view examples of when to use each request.

Scenario #1: An employee is moving to a new office

If the employee has IT assets assigned (physical desk phone, Zoom Phone, computer/laptop), submit a Schedule a Move request. You will be able to select the option to activate the data jack in the new office as part of the move request.

If the employee has NO IT assets assigned to them (e.g., part-time faculty rarely have phones or computers assigned solely to them), submit an Activate Data Jack request to activate the data jack. You might do this if the employee will be plugging in a personal laptop to work in the office or if you have a department-owned computer that the employees using the office will be sharing.

Scenario #2: An employee reconfigures their office and needs to use different jacks in the same office

If the employee needs to use a new jack for their phone (including Zoom Phone used only on the Zoom app), submit a Schedule a Move request. This allows Telecom to program the phone jack for the phone number and/or maintain an accurate record of the phone's location for 911 purposes.

If the employee ONLY needs to use a new data jack for their computer (and they do NOT have Zoom Phone on the Zoom app), submit an Activate Data Jack request to activate the new data jack.

Scenario #3: A new department device (e.g., network printer, copier) needs to be plugged into an existing data jack

If a department-shared device such a network printer or copier needs to use a data jack, submit an Activate Data Jack request to activate the data jack. Be sure to include the type of device that is being connected in the request.

Scenario #4: A shared office is being set up with a computer for several employees to share and needs to be plugged into an existing data jack

If a shared computer needs to use a data jack, submit an Activate Data Jack request to activate the data jack.

If you are also moving a physical desk phone that the employees are sharing, submit a Schedule a Move request instead. You can use the Schedule a Move request to also request that the computer data jack is activated.
