Schedule a Move Request
This article covers how Department IT Coordinators (DITCs) can schedule a move of computers and/or phones for one or more users/devices.
1. Log in to the IT Service Desk through the direct link or from the campus portal.
2. Click on Other Services.
The Schedule a Move request form appears in several categories and you will get to the same form regardless of which link you use.
3. Select Schedule a Move.
4. First, indicate for whom you are scheduling this move. If it is a move for multiple people, choose just one of the people.
- Type the last name of the person that is moving.
- Then select the person from the search results.
5. Enter the current building and room for the person. Then enter the new building and room for the person.
If multiple people are moving, you can simply enter the locations for one of the people who is moving.
6. Next indicate when you want the move to occur by clicking on the calendar button, selecting a date and time, and then clicking on the green checkmark icon.
Note that moves MUST be submitted at least 5 business days in advance.
- Click on the calendar button.
- Select a date that is at least 5 business days in the future.
- Specify a time for the move.
- Then click the green checkmark icon.
7. Select what is moving: Computer Equipment, Telephone Equipment, or Both.
8. If you indicate Computer Equipment is being moved, indicate how the equipment will be moved.
9. For Computer Equipment, indicate the current data jack number, the new data jack number, and whether the new data jack is active.
By indicating which data jacks are involved in this request, it allows IT to make sure that data jacks that are being used are active.
- Indicate the current data jack number that the person is using.
- Indicate the new data jack number that the person will be using.
- Indicate if the new data jack is active or not. If you're not sure, you can select Unknown.
10. For Phone moves, indicate if Telecom can move the phone earlier as well as the current/new voice jack numbers, extension to be moved, display name, and department.
Zoom Phones typically use data jacks instead of voice jacks. You can put the data jack numbers in the voice jack number fields.
- Sometimes Telecom is able to phones earlier than the official move date. If the phones can be move earlier, indicate the earliest that they can be moved.
- Specify the current voice jack number the person is using for their phone.
- Specify the new voice jack number that the person will use for their phone.
- Indicate the extension that is being moved.
- Enter the Display Name for the phone.
- Enter the Department for the phone.
11. Specify how many phones are moving.
If you are moving two or more phones, you MUST attach a spreadsheet with all of the relevant move details to this request in the shopping cart.
12. Specify the Account Code to use for any charges relating to this request.
14. Click Proceed to Checkout.
You can add other items/requests to your cart, but be sure that they are all related to the same person or situation (i.e., you would not typically have a Zoom Phone request and a Schedule a Move request in the same cart).
15. Click Edit to make changes to the request. Enter the name of the employee for whom you are requesting this move in the Requested For field (if applicable). Add any comments about this request in the Special instructions section. Click on the paperclip button to attach any documentation about this request. Then click Checkout to submit your request.
You can put your own name in the Requested For field if you are moving multiple people and there isn't really a single point of contact.
- Click Edit to make changes to the laptop request.
- Enter the name of the employee for whom you a requesting this move in the Requested for section. You can type the name in or click on the magnifying glass icon to look up a user.
- You can add any optional comments in the Special instructions box.
- Click on the paperclip icon to attach any documentation about this request (e.g., spreadsheet detailing all of the people and devices that are moving).
- Click Checkout to submit your request.
16. You're done! You'll receive an email confirmation of your request in addition to seeing the Request Number and RITM number.
When contacting the IT Help Desk about this request, it is most helpful to provide the RITM number. But you can also provide the REQ number. Learn more about Request Number vs RITM number.
The person listed in the Requested For field will also get an email confirmation of this request.
